The Trust Administration & Estate Planning Specialist will play a key role in supporting attorneys and clients through the estate planning and trust administration process. This position requires a highly organized and detail-oriented professional who enjoys managing documentation, coordinating information, communicating with clients, and ensuring that matters progress efficiently from start to finish.
The ideal candidate will possess strong administrative skills, excellent communication abilities, and a willingness to continually learn and grow within the legal field. Previous experience in estate planning, probate, trust administration, or a related legal environment is preferred; however, candidates with relevant education and a demonstrated aptitude for learning will also be considered.

The Trust Administration & Estate Planning Specialist will play a key role in supporting attorneys and clients through the estate planning and trust administration process. This position requires a highly organized and detail-oriented professional who enjoys managing documentation, coordinating information, communicating with clients, and ensuring that matters progress efficiently from start to finish.

Primary Responsibilities:
- Meet with clients to gather information for estate planning and trust administration matters
- Assist in the preparation, organization, and maintenance of estate planning documents, trusts, wills, powers of attorney, and related legal documents
- Coordinate client appointments, document signings, and follow-up communications
- Assist with trust administration following the death of a trustor, including gathering asset information and coordinating required documentation
- Communicate professionally and compassionately with clients, beneficiaries, financial institutions, and other third parties
- Organize and maintain accurate electronic and physical client files
- Track deadlines and ensure timely completion of assigned tasks
- Prepare correspondence, reports, and legal support documents as needed
- Assist with probate and estate settlement processes when applicable
- Maintain confidentiality of sensitive client and financial information
- Provide administrative support to attorneys and legal staff
Qualifications:
- Estate planning, probate, trust administration, or legal office experience preferred
- Certification, degree, or coursework in Paralegal Studies, Legal Studies, Estate Planning, or a related field preferred
- Knowledge of Oregon probate procedures, estate planning practices, and Oregon tax considerations is highly desirable
- Notary Public certification or the ability to obtain certification
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and document management systems
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities
- High attention to detail and accuracy
- Self-starter with the ability to work independently and manage multiple priorities
- Professional, compassionate, and client-focused demeanor
- Ability to handle sensitive situations with discretion and professionalism
